Facility Administrator & PA with excellent English and French. in Brussels

  • You will answer telephone calls and screen and route to proper recipients.
  • You will oversee health & safety related topics for Brussels office (first aid, COVID protocols).
  • You will greet, register, and direct all CCL walk-in visitors and guests.
  • You will function as a central point for incoming and outgoing mail/shipments.  Pick up incoming mail, date stamp, and distribute to proper recipients. 
  • You will send out all the materials needed for programmes by UPS or Fedex (boxes, envelopes etc).
  • You will organize office suppliers and liaise with the building manager for all the building related topics.
  • You will maintain the relationship with the travel service provider and assist EMEA employees with issues related to the AmEx Online Booking Tool.
  • You will ensure that stock levels are maintained and order necessary materials upon request.
  • You will work closely with the Finance team to build monthly reports and invoicing.
  • You will prepare Sales & Marketing requests and ensure proper shipment/delivery
  • You will handle general administrative tasks including expense management and diary management.
  • You will assist with booking and coordination of travel and with preparation and logistics of meetings.
  • You will attend to visitors needs relative to agenda and hotel requirements.


  • You have a Bachelor Degree or equivalent work experience in the secretarial or admin sector.
  • You are fluent in English and French  (written and spoken), and knowledge of any other EU other languages is a plus.
  • You have working knowledge of computers and MS Office.
  • You have the ability to use professional judgment during decision-making circumstances.
  • You take initiative and seek information.
  • You have strong communication skills, both by phone, written, and face-to-face.
  • You have good organizational skills, with the ability to work independently.
  • You have the ability to prioritize and complete requests from various program-related staff members with minimal supervision.
  • You have the ability to work with sensitive information.
