As the Management Support Officer you will support the Deputy Head of Belgium by providing a full range of HR services to the employees in Brussels Branch, using initiative to resolve queries and processes in an accurate and timely manner.
Ensure the smooth running of all operations, processes and procedures in place and aligned to local business needs and the EMEA/MBE HR strategy
• Complete payroll process for local and expatriates with accuracy. Escalate issues to the Country Head where necessary
• Manage the recruitment process in collaboration with external stakeholders
• Develop and organize a training plan to the employees in order to enhance the knowledge and skill requirements of the business
• Prepare and control all documents in relation to Belgium administrative authorities (professional, social, tax…)
• Manage the immigration process in collaboration with external stakeholders if applicable and Tokyo HO including legal requirements, setting up of the individual and the family, overall expenses and work related
• Support the annual performance process including performance, salary, bonus, promotions and job descriptions
• Support the Country Head in the preparation and control of the annual HR Budget
• Deliver relevant reports (statistics, regulatory) to the Country Head, MBE and external stakeholders/ authorities (NBB, Febelfin, FSMA)
• Ensure Workday data is accurately maintained and provide administrative support for all employees in Brussels Branch in relation to any Workday queries, escalating to the Workday team in London where necessary
• Ensure the Time Management is accurately maintained and provide administrative support for all employees in Brussels Branch
• Carry out the on-boarding and off-boarding processes for local employees and expatriates in Brussels Branch including conducting induction plan, delivering trainings and exit meetings
• Excellent communication and written skills in English and (French and/or Dutch)
• Ability to build professional relationships quickly
